Project Overview
The Aesthetic Experience is a beauty company in West Linn, Oregon offering personalized facial treatments, wellness services, and at-home beauty products. Their team manages appointments through Boulevard, tracks leads in HubSpot, and sells products through a Shopify store — but those systems weren’t talking to each other.
We were brought in to automate their sales and marketing operations end to end: syncing customer data across platforms, eliminating repetitive manual tasks, and building the infrastructure for scalable marketing campaigns.
The Challenge
The team was spending significant time every week on work that should have been automated:
- Manually booking virtual appointments and sending confirmation emails (5+ hours/week)
- Copying lead and contact data between Boulevard, HubSpot, and Shopify by hand (20+ hours/week)
- Manually setting up marketing campaigns from scratch each time with no reusable template
- No Google Calendar integration for virtual bookings — appointments existed in Boulevard but weren’t surfaced to the team’s calendars
With a high-priority Mother’s Day campaign on the horizon, the window to get everything running was tight.
Our Solution
We implemented four interconnected automation streams:
1. Multi-platform data sync We connected Boulevard (appointment software), HubSpot (CRM), and Shopify (e-commerce) so that customer and lead data flows automatically across all three. New contacts in Boulevard sync to HubSpot; product and inventory data syncs between Shopify and Boulevard. The team no longer manually reconciles records between platforms.
2. Appointment and calendar automation Virtual appointment bookings in Boulevard now automatically create Google Calendar events, with custom text sent to clients. This eliminated the manual appointment creation and follow-up email workflow entirely.
3. Custom Shopify post-purchase app We built a custom Shopify app that collects additional contact information after a customer completes a purchase. This gives the team richer lead data in HubSpot and improves targeting for future campaigns.
4. Reusable marketing campaign template We built a base campaign process in Shopify that the team can replicate for future promotions. The Mother’s Day campaign — bundling treatments and products — was the first deployment. It launched on time despite a tight deadline that required overtime to hit.
Outcome
The automation work immediately freed up significant time for the team and produced measurable revenue results:
- 5 hours/week reclaimed from appointment creation and client email workflows
- 20 hours/week eliminated from manual lead syncing and campaign setup
- ~$1,000 in campaign revenue generated from the inaugural Mother’s Day campaign
- Platforms now stay in sync automatically — no manual reconciliation needed
The client noted that A & H Solutions worked overtime to ensure the Mother’s Day campaign launched on time, and that the team genuinely cared about the outcome: no money was lost due to delays.
